Members

Invite, manage, and track club members and their roles.

Inviting Members

1. Go to Members → Invite
2. Enter the member’s email address
3. Member is always applied and can’t be removed — tick any extra roles (e.g. driver) on top
4. Pick a membership pack — only packs available to the roles you selected are offered
5. System sends an invitation email
6. Member clicks the link to set up their account

On a paid pack the invitation email carries a Stripe payment link, and the membership stays Pending Payment until it’s paid.

Member Profiles

Each member profile shows:

• Name, email, avatar
• Assigned roles
• Membership status and pack
• Event booking history
• Donation history
• Asset loan history

Role Management

Admins can assign or remove roles from members:

The COLLECTOR role is renameable. If your club calls them “Drivers”, set that under Settings → Collection and the label follows everywhere it’s shown.

Department admin roles (EVENT_ADMIN, etc.) are assigned via Team Management.

Driver (COLLECTOR) requirements

The MA Licence Number is required for any member assigned the driver (COLLECTOR) role. This applies on invite, on edit, and via automatic role assignment from a membership pack.

• Inviting a member with the driver role without an MA Licence Number is rejected.
• Clearing the MA Licence Number on a member who already has the driver role is rejected.
• The MA Licence Number, expiry date, and level appear in the Driver Details section of the invite/edit form.

Search & Filter

The members list supports:

• Search by name or email
• Filter by role
• Filter by membership status, including Expiring (30d)
• Sort by join date, name, or expiry date

Try-Drivers Tab

The Members page includes a Try-Drivers tab that lists every guest (non-member) registered through the public event flow. Each row shows name, email, phone, total bookings, and conversion status. Click a row to open the full guest detail page — see Try-Drivers for conversion to full members.

Membership Status

The member detail page shows two separate badges. Account active is whether the person can sign in at all; Membership is whether they’ve paid. They are not the same thing.

Before payment clears

A member invited onto a paid pack can sign in immediately, but sees only Dashboard and My Membership until payment lands — they need to reach the page that takes the payment. The rest of the club unlocks automatically once Stripe confirms.

Use Resend Payment Link on the member’s profile if they lost the email. This also re-checks Stripe first, so if they already paid and the confirmation was missed, it activates the membership instead of sending a duplicate.

Renewals

Monthly and yearly packs are Stripe subscriptions and renew themselves — there is nothing for you to do, and those members are deliberately left out of the expiry reminders.

One-off packs don’t renew by themselves. For those, ClubMS:

1. Emails the member 30, 7, and 1 day before expiry, and notifies you in-app. You’re copied on the final reminder.
2. Creates a Pending Payment renewal in their membership history at the 30-day mark, with a Stripe link attached.
3. Expires the old membership once the term ends.

The member can pay from My Membership, or you can click Renew Membership on their profile to create the renewal and email the link. Renewals start when the current term ends, so renewing early never loses paid days.

The Membership History panel on each member’s profile lists every membership they’ve held, with renewals badged, so you can follow the chain.

Spotting expiring members

The members list has an Expires column and an Expiring (30d) filter. Dates inside the reminder window are amber, and overdue ones red.
